You have access to your registered data at SBB and can subsequently amend or add to it. You can also see all certificates and evidence submitted to SBB and their status. Expired certificates/evidence can be updated easily.

With an account on the SAP Ariba platform, your company can also be found by other potential customers on the SAP Business Network.

1. Go to the SAP Ariba login page and log in with your existing login details. 
2. Click on the help symbol in the top right and select ‘Help Center’.

There are several ways to consolidate your accounts. Find detailed information in the Ariba Help Centre by clicking ‘?’ in your account or using the link provided.

To view your username or reset your password, proceed as follows:

1. Open the SAP Ariba login page.
2. Select “Forgot Username or Password” underneath the login button.
3. Follow the on-screen instructions to either view your username or reset your password.

(Please note that although the username in Ariba must have the format of an e-mail address, it does not necessarily have to match the e-mail address stored in the Ariba account).

In rare cases, SAP Ariba displays an error message immediately after you enter your username and password in the SAP Business Network. If this happens, simply select the “Back” button in your browser. Normally, the desired page will then be loaded. Yes, to work with SBB in the future and participate in our procurements, you will need an SAP Ariba account and to register with SBB as a supplier. This is mandatory due to the new processes in SBB’s supplier, procurement and contract management.

An SAP Ariba account gives you access to the SAP Business Network as a supplier, where you can view procurements. Registering with SBB, on the other hand, involves verifying your company details and formally registering as an SBB business partner. By registering, you will be included in the SBB database and are authorised to participate in procurements and receive orders from SBB.

If another person is responsible for completing the SBB registration questionnaire, add a new user account for this person to your company profile. To do this, follow the instructions on managing users. Then add the user to the response team of the SBB registration questionnaire. The information you provide in the SBB supplier registration questionnaire is only visible to SBB. The bank details are required for future invoice processing. For this reason, it is essential that you provide in the registration questionnaire the bank details that you will use for future invoicing. Please also provide your QR-IBAN. Only information that you would include on an invoice is requested (IBAN and company name). Thank you for your cooperation.

You can see the remaining time available for submitting the SBB registration questionnaire at the top right of the open questionnaire. As you approach the deadline, you will also receive appropriate reminders from us by e-mail. 

If you are participating in a procurement event, the registration details must be submitted when the bid is entered.

If the link in the invitation e-mail for registering on SAP Ariba does not work, please try the following: 

• Check whether you have logged out of all open SAP Ariba pages.
• Clear your browsing history before opening the link.
• Try opening the link in another browser (Internet Explorer, Google Chrome, Mozilla Firefox (etc.).
• Copy the link from the e-mail and open it again in an Incognito window (Google Chrome), an InPrivate window (Microsoft Edge) or similar.
• Ask your IT department to check whether internal network settings are preventing access.

It is important for the SBB registration invitation to be sent to the same e-mail address as the one your existing SAP Ariba account works with. If you do not yet have an Ariba account, it must be the e-mail address that you will also want to use for your account. We recommend using a general address. No. SBB does not have write access to your registration details in SAP Ariba. Re-open the questionnaire via the link and make the required edits/additions by selecting “Edit answer” in the registration questionnaire.

To be able to participate in procurements, conclude contracts with SBB and receive orders as a supplier, you have to register and undergo supplier qualification. The products or services that SBB purchases from you are assigned to purchasing categories (commodity codes). You can qualify for one or more purchasing categories by providing evidence (e.g. ISO certifications) on the basis of qualification questionnaires. If the same evidence is required for several purchasing categories, the same questionnaire will apply. It therefore only needs to be completed and submitted once. Qualification for a purchasing category is successfully completed if all relevant questionnaires have been approved.

If another person is responsible for completing qualification questionnaires, add them to your company profile as a new user account. To do this, follow the instructions on managing users. Then add the user to the response team for the desired questionnaire. Find step-by-step instructions on how to make changes to the response team here: 

Qualification evidence applies to all purchasing categories that require this evidence. This means you only have to complete the same questionnaire once for all purchasing categories. However, it may be that a purchasing category requires several forms of evidence and you therefore have to complete several questionnaires. 

When all questionnaires for a purchasing category have been approved, you will receive a final confirmation e-mail stating that qualification for this purchasing category is complete. 

Yes, you will be informed and asked to resubmit your qualification evidence. 

To take part in an SBB procurement, either open the link in the invitation e-mail you received from SBB or call up the procurement event in your SAP Ariba profile via the dashboard. Find step-by-step instructions for entering a bid here.

There may be various reasons why you are unable to process the questions in a procurement or are unable to upload documents. 

Check whether the deadline for submitting a bid has expired. 

Make sure too that you have selected the “Intend to Participate” option in step 1 “Review Event Details” in the procurement event. 

Then check that you have selected a bidding currency and the corresponding Ariba lots in step 2 “Select Lots/Line Items”.

To make the system easier to use, please check in step 2 “Select Lots/Line Items” that you are on the “Select Lots/Line Items” tab and not on the “Select using Excel” tab. 

You will then be taken to step 3 “Submit Response”, where you can submit your bid.

Please check whether variants are authorised for your procurement. To submit a variant, you must first submit a primary bid. After you have submitted a primary bid, open the procurement event again and select “Create Alternative”. Find a step-by-step guide to alternative bids here.

As long as the bid deadline has not expired, you can submit a bid at any time by selecting “Intend to Participate”. Call up the procurement event via the invitation link in the e-mail or via the dashboard in SAP Ariba.

It is not possible to subsequently change the status of a procurement event from “Intend to Participate” to “Decline to Participate”. If you do not wish to participate in the procurement, simply do not submit a bid.

If several people in your company are involved in the bid submission, you can add their user accounts to the procurement event independently. To do this, select Revise response team. Find step-by-step instructions on how to add more users to the response team here: 

The bids are evaluated by the responsible purchasing department. During the evaluation of the bids, your bid may not be visible on your supplier profile in the SAP Ariba Business Network for system-related reasons. 

Cause:

You receive this message because the username entered is already linked to a supplier account for SAP Business Network, SAP Business Network Discovery or Ariba Sourcing. You must therefore choose a new username. The new username must be unique.

Solution:

All usernames in SAP Business Network must look like an email address but do not need to be a valid email address. For example, if “example@ariba.com” is not accepted, try “example1@ariba.com”. To do this, remove the check mark from “Use my email address as username”.

Cause:

This error message in SAP Ariba means that another user from your organisation has already established a connection with SBB. It is possible that multiple Ariba accounts (ANIDs) exist in your company or that you have multiple user IDs assigned to different ANIDs.

Solution:

Please ensure that you complete the login process using the ANID that is already linked to SBB. By selecting “Create new account”, you create a new user for the linked account.

Cause:

The message “Please contact the account administrator” in SAP Ariba usually indicates that your account is locked, your email address has been stored incorrectly, your username is incorrect or you do not have the necessary permissions.

Solution:

Please contact your internal Ariba account administrator so that they can check your login details or email address, remove any account lock or reassign the account. If the Ariba account administrator is no longer part of your organisation, please contact the SAP Ariba Help Center (question mark icon in the top right corner of the screen).

If an error message appears indicating a system error (e.g. “Page not found”, “A problem has occurred during your session. Please contact SAP support”, “System error”, “Timeout – session terminated” or similar), please proceed as follows:

1. Delete the cookies and cache content of your internet browser. 
2. Then open the link from the received email again and try to log in once more. 
3. Alternatively, we recommend trying to log in using a different browser, e.g. Google Chrome or Mozilla Firefox. 

If the problem persists, please contact the Ariba Help Center directly. 

Cause:

A common reason is that the invitation was sent to a different email address or another user in your company than the one you are currently logged in with. Another reason may be that your user account within your organisation does not have the required role “Access Proposals and Contracts”.

Solution:

Check user: Ensure that you are logged in with the correctly invited user. Otherwise, please ask the SBB Procurement Services team at einkauf.services@sbb.chLink opens in new window. to send the required link to the questionnaire or tender to the desired user. 

Assign roles: Ask the administrator of your Ariba account to check your user profile. Under Company Settings > Users, your name must be assigned the role for access to tenders and questionnaires. 

Switch module: If after login you only see orders/invoices, click on “Business Network” in the top left and select “Ariba Proposals and Questionnaires”. There you will find all tenders and questionnaires centrally in one place.
